Poster preparation, file specifications & submission guide for accepted abstract presenters

Overview

Congratulations on your abstract being accepted as an ePoster at the 19th International Child Neurology Congress (ICNC 2026), taking place 25–29 May 2026 in Taipei, Taiwan.

Your ePoster will be displayed and presented on a large digital screen in the ePoster area. Please read these instructions carefully and prepare your poster following the specifications below.

Poster Specifications

Slide Size

Your poster must be a single PowerPoint slide in 16:9 widescreen format. To set this in PowerPoint:

Provided Templates

Three PowerPoint templates are provided. All are 16:9, include the ICNC 2026 logo, and have placeholder text showing where to add your content.

⚠ Note: You are not required to use a provided template. You may design your own poster as long as it meets the specifications in Section 2. If you do use a template, do not change the slide size — this will affect how the poster displays on screen.

Saving Your Poster as a PDF

On Windows (PowerPoint for Windows)

Click Options… and ensure: "Publish what" → Slides, "Slide range" → All, and check "ISO 19005-1 compliant (PDF/A)"

Embedding Fonts (Important)

Fonts must be embedded in the PDF to ensure your poster displays correctly on the conference screens, which may not have your fonts installed.

Windows — embed fonts before saving:

Mac — font embedding is automatic:

PowerPoint on Mac embeds fonts automatically when exporting to PDF. No additional steps required.

Checking Your PDF Before Submitting
💡 Tip: If your file is over 25 MB, compress your images before inserting them (right-click an image in PowerPoint → Format Picture → Compress). You can also use a free online tool such as Smallpdf or ILovePDF to compress the final PDF.

File Naming & Upload

Required Naming Convention

Files must be named using your abstract submission number (found in your acceptance email from ICNApedia). Use lowercase only — no spaces or special characters.

⚠ Important: Use only lowercase letters and numbers in the filename. Do not use spaces, accents, or special characters. Files with incorrect names cannot be matched to your abstract and will not appear in the ePoster system.
How to Submit

Each presenter receives a personal upload link included in their acceptance email. This link is unique to you and is tied to your abstract — you do not need to create an account or enter a password.

👁 Preview Your ePoster Before the Conference

After uploading your PDF, click the "Preview my ePoster" button on the upload page. This will open your poster exactly as it will appear on the conference screen — in the fullscreen ePoster viewer — using your private preview link.

Only you (via your personal link) can see your poster before the conference opens. The ePoster library will become publicly accessible to all delegates on the first day of the congress.

Video Recording (Optional but Encouraged)

You are invited to submit a short video recording of yourself presenting your poster. This will be displayed alongside your PDF in the ePoster viewer and is especially valuable for delegates who cannot attend in person.If you want to include any patient videos in the ePoster, you can incorporate this into this one video file with your narration.

How to Upload Your Video

Use the same personal upload link as for your PDF poster. The upload page accepts both PDF and video files — you can upload or replace each independently at any time before the deadline.

In-Person Presentation

During your allocated ePoster session you will be expected to be present at your designated screen to discuss your poster with delegates.

Frequently Asked Questions

Can I use my own design instead of the provided templates?
Yes. The templates are provided for convenience. You may create your own design as long as it is 16:9, includes all required content sections, and meets the font and file size requirements. The ICNC 2026 logo should be included.
Can I use software other than PowerPoint?
Yes. Keynote, Google Slides, Adobe Illustrator, or any tool that produces a single-page 16:9 PDF with embedded fonts is acceptable.
My file is larger than 25 MB. What should I do?
Compress your images before inserting them (right-click each image in PowerPoint → Format Picture → Compress). Alternatively, use a free online PDF compressor such as Smallpdf or ILovePDF after exporting.
I cannot find my Abstract ID. Where do I look?
Your Abstract ID is in your acceptance email from the ICNApedia Abstract submission system. It is a 3–4 digit number (e.g. 566, 1042). If you cannot locate it, contact the ICNC 2026 secretariat.
I cannot find my personal upload link. What should I do?
Your personal upload link was included in the acceptance email sent by the ICNC 2026 secretariat. Please search your inbox for an email from ICNC 2026 containing "ePoster upload". If you still cannot find it, contact the secretariat and they will resend it.
Can I share my upload link with a co-author to upload on my behalf?
Yes. Your personal upload link can be shared with a colleague who will upload files on your behalf. However, please note that the link is tied to your abstract — only upload files for your own poster.Please note that all presenting authors should be registered for the congress.
Can I update my poster after uploading?
Yes. Simply use your personal upload link again and upload a new file — it will automatically replace the previous version. Updates are accepted until the deadline.
How can I check that my poster looks correct before the conference?
After uploading, click the "Preview my ePoster" button on your upload page. This opens the fullscreen ePoster viewer with your poster exactly as delegates will see it. Only you can see your poster via this preview link — it will not be visible to the public until the conference begins.
My video is in MOV or another format — is that acceptable?
MOV, WebM, M4V, and AVI are accepted in addition to MP4. However, MP4 (H.264) is strongly preferred. Free tools such as HandBrake or VLC can convert other formats to MP4.
Do I need to be present for my entire session, or only during my 6-minute slot?
We encourage you to remain available at your poster screen for the full session period so that delegates can approach you at any point to discuss your work. Your 6-minute formal presentation slot is the minimum requirement.
